Managing User Voicemail

0:02 Welcome to the B1 Communications training academy. Today’s video is for office managers, and we’ll be showing you how to manage voicemail and update greetings.

0:12 If you’re unsure which voicemail box customers are using to leave a message, please watch our troubleshooting video on co-flows. If you’d like to reset a user’s voicemail box, follow our user management video.

0:25 Voicemail is located within the individual user profiles. Let’s select the user tab, and find a user. Let’s use fill cooks at extension 105.

0:37 You can scroll down to confirm the correct email is used for voicemail notifications, then we can proceed to the voicemail tab.

0:44 You’ll want to ensure the user hasn’t reached their voicemail limit of 10 megabytes, and you can clear the messages right here if that’s the case.

0:53 Let’s scroll down to the voicemail greeting, and set up a new greeting. Let’s use the AI voices and type a quick voicemail message now.

1:04 Let’s select Daniel as the voice and hit save. You’ll then want to confirm email notifications are enabled based on your preferences.

1:15 We recommend using Send With Attachment, which will send the employee an email with call details and an MP3 attachment of the message.

1:23 Once the voicemail has been emailed, you have the option of either leaving the voicemail as new, which will be available on the desk phone or web portal with a new voicemail light indicator, or you can move to save, which makes it available without that voicemail light indicator.

1:40 The only consideration is that users will have to delete voicemail messages in the system, otherwise they’ll quickly reach that 10 megabyte limit and new messages cannot be left.

1:50 We recommend send a trash to avoid this issue altogether.
